Job Summary:
The Office Assistant plays a vital role in supporting the daily operations of a home
health agency. This position ensures smooth office workflow by performing
administrative duties, assisting with patient documentation, scheduling, data entry, and
communication between staff and clients. The ideal candidate is organized, detail-
oriented, and has a strong understanding of home health operations or is willing to learn
quickly.
Key Responsibilities:
- Answer and direct phone calls in a professional and timely manner
- Greet visitors and provide general administrative support
- Maintain and organize patient records in compliance with HIPAA regulations
- Assist with scheduling patient visits and coordinating caregiver assignments
- Prepare and process intake forms, physician orders, and other clinical documentation
- Communicate with field staff regarding schedules, updates, and documentation needs
- Perform data entry and update client information in the electronic health record (EHR) system
- Monitor office supplies and place orders as needed
- Support billing and payroll processing as directed
- Assist with compliance tasks and audits
- Perform other clerical tasks as needed to support the team
Qualifications:
- High school diploma or equivalent; associate’s degree preferred
- Prior administrative or healthcare office experience (home health experience is a plus)
- Strong computer skills, including proficiency in Microsoft Office and EHR systems
- Excellent communication and interpersonal skills
- Ability to multitask, prioritize, and work independently
- Familiarity with medical terminology is a plus
- Knowledge of HIPAA and home health regulatory standards is desirable
Work Environment:
- Office setting with occasional interaction with caregivers, nurses, and clients
- May involve sitting for extended periods and occasional lifting of office supplies
